How to Create a FREE Business Email & Set It Up on Gmail (2024 Guide)

Would you rather send an email from:

scottsplumbing@gmail.com

or

scott@plumbing.com ?

The second email is by far the better option, it looks much more professional and will help you get more responses to your emails. By the end of this guide, you’ll know how to successfully route your business email to your gmail account for free. 

Ultimately, you’ll be logged into your gmail account (lets say scottplumbing@gmail.com), but you’ll still be able to send and receive emails from your business account (scott@plumbing.com).

This guide will show you how to create a free business email using your domain and seamlessly set it up with Gmail in 2024. What You Need:

  • Web Hosting: Your web hosting stores your website’s data. A recommended option is HostHavoc, where you can get a 7% discount by using the code SCOTTVINCENT7 at checkout. Web hosting is necessary to manage email servers and connect them to your domain.
  • A Domain: This is your business URL (e.g., yourname@yourbusiness.com) and is required to create a professional email address. If you don’t have a domain, I recommend using namecheap.com

What We’ll Do:

Test Sending & Receiving Emails: Ensure everything is functioning smoothly by testing both sending and receiving emails.

Create a Free Business Email: Set up a professional email using your domain through a free provider.

Link It to Gmail: Connect your business email to Gmail for easier management.

Step-by-Step Instructions:

Step 1: Log in to your web hosting account and select “Email Accounts.”

Step 2: Click on Create (+) to begin.

Step 3: Choose your domain for the email address.

Step 4: Generate a username and a strong password, then click Create.

(Note: Save your password for future use.)

Step 5: Search for your new email in the list and click Manage.

Step 6: Under “Allocated Storage Space,” select Unlimited for ample space.

Step 7: Click on Update Email Settings.

Step 8: Now, click on Check Email.

Step 9: Look for the Configure Mail Client option.

(Note: If it looks different, find the tab labelled “Configure Mail Client.”)


Step 10: This is the important information (the “sweet sauce”) you’ll need for Gmail.

Step 11. So now, We’re good to go to our Gmail section. Click on settings located at the upper right hand corner of your Gmail, sitting beside the 9 dots. Then click See all settings. 

Step 12: Navigate to the Accounts and Import tab and select Add a mail account.

Step 13: Enter the email address you created (the “sweet sauce”). Then click Next>>

Step 14: Select “Import emails from my other account (POP3).” Then click Next>>

Step 15. Now this is the tricky part

  • Use the email, username, and password from earlier.
  • Tick the boxes for SSL and label incoming messages.
  • POP3 port should be 995 as indicated in the “sweet sauce.”

Then click Add Account>>

Step 16: Choose Yes when asked if you want to send mail from this account

Then, click Next>>

Step 17: Enter the name that emails will be sent from, then click Next Step>>

Step 18: For SMTP, use the same settings as before, including your username, password, and port number 465.
Then click Add Account>>

Step 19. Yay! You should now see a confirmation message.

Step 20: Go back to your webmail and click Open.

Step 21: Click the confirmation link in your webmail. This will take you to Gmail—click Confirm.

And that’s it! Congratulations!
